Real estate CRM software for agencies and developers in Pakistan

Webista.pk builds real estate CRM software in Lahore for property agencies, developers and portals across Pakistan. Leads from Facebook ads, WhatsApp, your agents and your website land in one place, are handed to an agent and followed up until the deal is won or lost. We built this for Gharlo, a Lahore property platform, where it runs today.

Where real estate offices lose leads

Most property offices in Pakistan lose leads in the gap between channels, not because agents do not care. A typical day looks like this:

  • Facebook ad leads wait in Meta's lead centre until someone remembers to download them
  • Buyers message an agent's personal WhatsApp, and the chat leaves the company when the agent does
  • Two agents call the same buyer, while another lead gets no call at all
  • Nobody can say how many site visits were booked last week, or why deals were lost
  • Property posted by owners and dealers has to be checked before it goes on your website

A real estate CRM closes those gaps by giving every lead one record, one owner and one next step.

What is a CRM in real estate?

A real estate CRM (customer relationship management system) is software where an agency or developer keeps every buyer, seller and tenant lead, the property or project they asked about, every call and WhatsApp chat, and the next follow-up. Agents see what to do today; managers see which channel and which agent bring in deals.

A general CRM can do part of this. A real estate CRM also knows your listings, projects, cities and areas, so a lead is always tied to the property it is about.

What we build into a real estate CRM

Every module below is running in the Gharlo CRM today. You choose the ones your office needs.

Leads from every channel

Facebook lead ads arrive automatically with the form name. Website and project enquiries, agent leads and Excel imports land in the same list, each with its source.

Shared WhatsApp inbox

Office numbers are linked by QR code. Chats appear in one inbox, a new customer's chat becomes a lead, and the history stays with the company.

Automatic assignment

Leads nobody has picked up are handed to active agents in turn, on a schedule, so every lead gets an owner.

Follow-ups and site visits

WhatsApp leads move through new, contacted, qualified and negotiation, then won or lost with a reason. Logging a call outcome suggests the next step, such as a site visit two days later.

Listings and projects

Property posted on your website arrives for approval, rejection or featuring. Projects, unit types, payment plans, cities, areas and amenities are edited without a developer.

Agents, managers and the office

Roles decide who sees which leads. Managers see performance per agent. Attendance, leaves, payroll and expenses can run in the same system.

How a property enquiry becomes a site visit

This is the real flow in the Gharlo CRM, from the first message to a closed deal.

  1. A buyer fills a Facebook lead form for a project, or sends a WhatsApp message to the office number.
  2. The lead appears in the CRM with its source: the Facebook form, the office WhatsApp number or the project page.
  3. Every lead gets an owner. Facebook and imported leads that nobody picks up go to the next active agent automatically.
  4. The agent calls or replies on WhatsApp and logs the outcome: interested, call back, no answer, visit booked.
  5. The CRM proposes the next step and its time, and the lead moves to the matching stage, marked hot, warm or cold. After several unanswered calls it suggests marking the lead cold instead of chasing it for ever.
  6. Overdue follow-ups show at the top of the agent's agenda until they are done.
  7. The deal is marked won, or lost with a reason, and managers see the result per agent and per channel.

What the agent sees each morning

  • Follow-ups split into overdue, today and upcoming
  • Only their own leads, unless their role allows more
  • The full chat, call log and history for each lead

What the manager sees

  • Every lead with its source, agent and stage
  • Lead and WhatsApp performance per agent
  • Lost reasons, so weak spots show up
  • An audit log of who changed what

Integrations we have built for real estate

These connections are working in a real estate CRM we built, so we know what they need and where they break:

  • Facebook lead ads through Facebook's Graph API, pulled in on a schedule
  • WhatsApp by QR code, the way WhatsApp Web links a phone (not the official Business API)
  • Your property website: listings, project enquiries and listing package purchases flow from the website into the CRM
  • Agents' phones: a mobile app we built syncs call logs into the CRM and matches each call to its lead
  • Excel import for old lead lists and export for reports
  • Images and search: Cloudinary for property photos, Elasticsearch for fast search

What we have not built yet

We would rather tell you now than surprise you later. We have not yet built connections to Zameen, Graana or other outside property portals, SMS gateways, e-signatures, or installment and plot accounting for housing societies.

If you need one of these, we check in discovery whether the other side offers a way to connect, and quote it as separate work only if it does.

Built and running: the Gharlo CRM

Gharlo is a property platform for buyers, sellers and renters in Lahore. The public portal at gharlo.pk and the CRM behind it share one set of data. In the CRM the Gharlo team approves listings, works leads from Facebook, WhatsApp, agents and the website, and runs the office, including attendance and payroll. Read the Gharlo case study to see the portal and how a lead moves through the system.

Need the public side too? We build property websites with an admin whose enquiries go straight into the CRM.

Ready-made real estate CRM or a custom one?

A ready-made real estate CRM is the better choice if you are a small team, your leads come mostly by phone, and you are happy to work the way the product works. It is quicker to start, and several Pakistani products exist. If that is you, we will say so.

A custom real estate CRM is worth it when:

  • Your leads live in WhatsApp and Facebook, and you want them out of agents' personal phones
  • You run your own property website or portal and want listings and leads in one system
  • Your process has steps a ready-made product keeps fighting, such as listing approval or project payment plans
  • You want the code and the data on your own server, without per-user fees

What affects the cost and timeline

  • The modules: leads only, or also listings, projects, HR and payroll
  • The channels: Facebook, WhatsApp numbers, your website, Excel imports
  • The number of roles, branches and approval steps
  • Whether the CRM shares data with a property website
  • Moving old leads in from Excel or another system

We do not sell fixed packages. After a discovery call you get a written scope with dates and price, and a working demo at the end of every milestone. See how we run CRM projects.

Real estate CRM: common questions

What is a CRM in real estate?

A real estate CRM is software where an agency or developer keeps every buyer, seller and tenant lead, the property or project they asked about, each call and WhatsApp chat, and the next follow-up. It shows which agent has which lead and which ones have gone quiet, so no enquiry is forgotten.

Can the CRM pull in leads from our Facebook ads?

Yes. Leads from Facebook lead forms are pulled into the CRM automatically through Facebook's API, with the form name, so you can see which campaign brought them. The Gharlo CRM we built works this way.

Does it work with our office WhatsApp numbers?

Yes. Office WhatsApp numbers are linked by scanning a QR code, the same way as WhatsApp Web. Chats appear in one shared inbox and a new customer's chat becomes a lead. This uses WhatsApp Web linking, not the official WhatsApp Business API, and we explain what that means for your numbers before you decide.

Can agents see each other's leads?

Only if you allow it. Each role has its own permissions: an agent can be limited to their own leads while managers see every lead, every follow-up and performance per agent.

Can you connect our listings on Zameen or other property portals?

Not today. We have not built a connection to any outside property portal, so we will not promise one. Leads from other sources can be imported in bulk from Excel, and we check during discovery whether a portal offers a way to export your leads.

How much does real estate CRM software cost in Pakistan?

It depends on the modules (leads only, or also listings, projects, attendance and payroll), the channels to connect, the number of roles and branches, and whether the CRM shares data with your property website. We do not sell fixed packages. After a discovery call you get a written scope with dates and price before any work starts.
